Transcript:

We’re going to see in this tutorial how to create a simple contact form, to add and edit a couple of fields, then adjust the form settings and finally publish the form. This is my 123ContactForm dashboard, I’m gonna press Create New Form and select the first option – Contact Form. I want to create a form for the 123ContactForm users – it’s gonna be named Contact Us. As soon as I press OK, I’m taken to my Form Editor.

[0:30] Here, I can see that I’ve got three fields, namely Name, Email and Message. First, I want to add a radio buttons field, so I’m going to drag it to the place where I want it to be. In order to customize it, I only have to click on it and the Edit panel will open on the left side of the screen. In the text area named Label, I will type the name of the field – it’s gonna be Message Subject. Then, I want to provide the available options. In the Available Choices box, I’m gonna type them, one on every line. They’re gonna be: General Inquiry, Technical Support and Feature Request. As soon as I type them in here, I can see the result in the main view. I want this field to be a required one (i.e. visitors will not be able to send this form if they do not fill in this field) so I’m gonna check the Required box. I also want to request a phone number, so I’m gonna press Add Field and visit the Advanced Fields section. Here, I’m gonna choose the Phone icon and place it right below the Email field. I also want this one to be a required field, so I’m gonna clik on it and check the Required box. Now we can preview the form. I’m gonna close the Preview box and move on to Form Settings.

[2:50] I’m gonna press Quick Links and Settings. I can see that, in the left menu, I’ve got many tabs. Let’s see what they can do. For a start, in the Notifications section, I can decide where submissions are sent to. By default, the email used for creating this account is the only one listed in the Notification Emails section. That means that I’m receiving emails. But I also want Florin to be receiving emails, so I’m gonna press Add Notification Email, to have his address listed, too. So here I’m gonna type in his address. I don’t want him to receive all submissions, only the ones that refer to technical support. In this dropdown, I’m gonna choose Message Subject – is – Technical support. In the first dropdown, I have two options – Also and Only. I’m gonna leave the Also option selected. This structure means that emails will also be sent to Florin when the message subject is Technical support. Add Notification and his email has been listed as well. If I want to delete an email address, I only have to click on it and press Delete Selected. Moving on to Confirmation Settings, here I can choose what message to be displayed to form users. I can choose to both show a text and redirect to a web page. In the first box, I’m gonna have the text message (Your message has been sent. Thank you for filling our form.) and, in the second one, I’m gonna type the URL of the page where I want to redirect users. In order for both actions to be made, I have to check the third radio button – Show the above text, then go to the above page. The next options allow me to send a copy of the completed form to the sender, to send a confirmation message to the sender (an autoresponder) or to track the page where my form is hosted with Google Analytics.

[5:35] Another tab available in the left menu is Themes. We have discussed theme customization in a previous tutorial. For now, let’s just select a predefined theme – Deep Sky Blue – and preview the contact form. It’s very important to press Save. Themes settings were saved successfully. Next, Applications. In this section, you can integrate your form with third party apps that will allow you to manage submitted data easily. The Payment section works very well with order forms. You can select the payment processors that you will accept from among PayPal, Google Checkout and Authorize.net. You can use all of them if you want to. You can also assign prices to products and adjust many other features. In the Security section, you can decide how you will protect your form. You can use CAPTCHA images, country filters – to block submissions from specified countries – or even a password for protecting your form. In the Rules section, you can choose what fields to show or hide, depending on visitors’ answers, so that the form is perfectly coherent. In the Translation section, you can add or import translations from different languages for the messaged that will be shown within your form. We will discuss all of these settings options in future tutorials. Until then, if you want to learn more about them, take a look at our Help & Documentation section.

[7:50] Let’s move on to publishing our contact form – Quick Links and Publish. In the left menu, we’ve got all of the available options listed. The first one and the simplest one is Form Link. Here, I can access the link to the form hosted on the 123ContactForm website. I can simply copy the URL and paste it, share it with the ones that I want to visit my form. And I can also copy/paste the code for text and image links. The next option, Embed Code, is the one used for publishing your form within your own website. You’ve got three options, namely JavaScript, iFrame and Inline HTML. JavaScript and iFrame are much alike; the difference is that with JavaScript the height of your form will be adjusted automatically to fit its content, whereas with the iFrame the height of your form will be fixed and users will have to use scrollbars to see the entire content. The Inline HTML option provides all of the form code. Using the Lightbox option, you will publish your form in a floating box above the page – it is a very stylish option. You can link to that floating box through text links, image links or floating buttons. You can also publish your form on Blogger, on Facebook – in which case we’ve got a very nice application for you to enjoy and here is also a tutorial on the use of the application. You can publish your form on WordPress – using the 123ContactForm plugin – or on Google Sites.

[10:10] The option that we are going to use right now for our contact form is Embed Code and iFrame. I’m gonna copy this code, open an HTML editor and paste the code where I want it to be, then save the HTML file and open an FTP client. Here, I have to copy the HTML file from my local folder to the section that shows my connection to the website. This particular contact form has already been published, but that is what you would normally have to do. Now, let’s access the page where the form is hosted. If you’re page is already open, then you have to refresh it. Here is our contact form published on our Live Demos page. Everything seems to be in the right place, except for the frame of the form, which does not show with the iFrame type of publishing. Contact us if we can be of any assistance and have fun creating your forms.

Transcript:

We’re gonna take a look today at how to use the 123ContactForm application for Facebook. I’ve got right here a birthday party registration form that I want to post on one of my Facebook pages. This is my form. I’m going to access the application at apps.facebook.com/contact-forms. I’m logging in to my Facebook account. Here is the application. In the first dropdown list, I’ve got my forms. I’m going to select the one I’m interested in, Birthday party registration. In the second dropdown, I’ve got my Facebook pages – Birthday party is the one we need. I’m pressing Add and Click here to see it. Here it is – my form posted on my Facebook page.

[1:10] If I want to change this label, I can do that by pressing Edit info → Apps → Edit Settings for the 123ContactFrom application and let’s replace the text with Join Us. View page and here we go – the label has been changed to Join Us.

[1:40] I’m seeing this box because I am the administrator of this page, so my visitors will not be able to see it. If I want to change something about my form after I have added it to my Facebook page, I simply have to press Click here and I’ll be taken straight to my Form Editor. Let’s say I want to replace Comments and Suggestions with Message. My form has been updated, so I just have to refresh the page and see the changes. Here we go: Message, instead of Comments and Suggestions.

[2:20] Now, other things that I can do. If I want to add another form to another page, I will use this button. If I want to select a different form to be used for this page, I will choose it here and then press Update and if I want to completely remove the form from the page, I will press remove. If you’ve got any questions, feel free to contact us.

We’re going to talk a bit today about customizing form themes. We’re going to create a new form and then add and customize a theme. So let’s start. Create New Form – a survey. If I wanted to add and edit fields, I would do that here, in the main view, but I don’t want to, so I’m going to press Continue to get at Form Settings and then Themes.

[0:35] If I’m already familiar with the themes, I can do a quick search and choose one, but for now let’s take a look right here and pick a theme. If I want to use it exactly the way it is, I just have to press Save, but there are some things about it that I want to change, so I’m going to press Customize to be taken to my theme editor. It’s very important to know that I can never be working on the original theme, I have to duplicate it and work on its copy. Press Duplicate and here’s the copy.

[1:20] Let’s customize this theme. Let’s turn the background color into a light yellow. If the form frame is off, then I’m just going to have text on a colored background. Let’s turn it back on. This is the box title. Let’s adjust its color and make it a lighter blue. This is the headline, that can be placed below the box title or inside the box title or inside the box title if I check the first radio button. The form background color is now nearly white. Let’s make it light blue as well. Shadows can be off or on. Now they’re on and, if I check the second radio button, they’re off.

[2:25] Now the logo section. I can use one of the default logos or, if I’ve got a logo of my own, I’m going to check the second radio button – Custom logo URL – and paste the URL of my logo here. It should be something like http://mydomain.com/, the folder images and logo.png. My text is now black. I can adjust its color and make it pink.

[3:20] Now the font style and size. In our Help & Documentation section, we’ve got the complete list of the form styles you may use. Let’s turn Verdana into Trebuchet. The size may be between 1 and 6. The label info color is right here – the words First and Last for the Name field, for example. It can be adjusted as well. Let’s turn the color into red. The highlighted text color would apply if I had some highlighted text in my form, but I’ve haven’t got any, so I’m gonna skip Highlight color and Highlighted text color.

[4:25] I’m gonna move on to the last option, the Submit button. Now it is styled. If I want to have no style whatsoever applied to it, I’m going to check the second radio button and it will look like this. If I’ve got a submit button of my own, I’m gonna check the third radio button and paste the URL of my submit button here. For now, let’s just leave it styled.

[4:55] When I’m done customizing my theme, I’m gonna press Save and the new customized theme has been successfully saved. If I had wanted to create a new theme from scratch, I would have pressed this button and I would have started from here. Let’s select the customized theme again and return to our form, press Save again right here and that’s it – themes settings were saved successfully. Let’s preview the form and here it is. That should sum it up. Please let us know if you’ve got any difficulties in creating your forms.

Introduction

123ContactForm web forms support multiple languages. These can be set up in your Settings → Translations section. Using this feature, you will enhance form usability significantly, as you’ll address users of different languages in a customized and friendly way. The drop-down list containing the languages you make available will appear in the top-right corner of the form. Multi-language forms can be set up in a very easy and intuitive way. Read the information below for details.

Add or import languages

When you access the Translations section for the first time, you are invited to select the default language. The words that you used within field labels when building your form in the Form Editor are the starting point for all future translations for a particular form, i.e. they are considered default.

After you’ve selected the default language, two buttons show up: Add Language and Import Languages. The former is used to create the set of translations pertaining to a new language. The latter is useful if you’ve already set up a multi-language form from where you can import translations.

Customize translations

When you click on Add Language, you are asked to select the new language that you’ll be adding. Then, you are taken to the customization lightbox pictured below, where translations are created. On the left side, there are listed all the form fields that you’ve created and all the messages that form users may see while filling out and sending the form. Add the translations in the text boxes on the right side. Press Save when you’re done.

Firstly, be sure to check your Spam and Trash boxes. If submissions aren’t there, check if you’ve got the proper form configuration. Here are some tips for having your submission emails behave like regular email:

In Settings -> Notifications, open the Customize Emails subsection.
What is the Reference ID?

Reference ID is a very effective way of tracking form submissions (sent and received emails) concerning a particular subject. If this feature is activated, the subject of the email you receive will contain a unique identifier, based on the time stamp, e.g.: (Ref: FRM-1206090399). This way, when you want to check all communication on that subject, you will search for (Ref: FRM-1206090399) in your email client, and will find all the emails that you are intereseted in.

Can I use multiple recipients for a form?

Yes, you can. Using multiple recipients means setting several email addresses to receive submissions. Basic plans can use three recipients that will receive all submissions. Upgraded plans have access to an unlimited number of recipients. Recipient email addresses for upgraded plans can also be customized to receive only certain submissions, depending on submission content.

What are custom recipients and how do I use them?

This is a feature designed especially for users/companies that receive many emails. They will have their business processes fastened if the emails are sent directly to the department that should handle the issue.

For example, company ABC – who has got 3 departments: cars, motorbikes, trucks – receives all filled contact forms to the same email address: contact@abc.tld. The ABC employee that handles filled contact forms sorts the emails and forwards car related emails to cars@abc.tld, motorbike related emails to motorbikes@abc.tld and truck related emails to trucks@abc.tld. This is time consuming and adds some delay to the reply action. By using custom recipients, company ABC will have the filled contact forms sent directly to the right addresses.

To add custom recipients, go to Settings -> Notifications -> Notification Emails. You’ll see that the email address used for creating your account is, by default, set to receive all submissions. Press Add Notification Email and the lightbox in which you can add and customize emails will appear. Type a new address in the text box and choose, in the second dropdown list, the field that will affect the submission’s behavior. Then specify the particularities that it needs to meet.

E.g.: Address – contains – Boston. This means that the submissions in which the Address field contains the word Boston are considered.

In the first dropdown list, you can select Also or Only. If you select Also, then the submissions that meet the conditions will be sent to both the primary email address and the one added afterwards. If you select Only, then submissions will only be sent to the newly added address. Press Add Notification in the lightbox and your new email address will be added.

If you want to customize an email, click on it and you’ll be taken to the customization lightbox. If you want to delete an address, select it and press Delete.
